What Is a CMMS, and When Does Your Organisation Actually Need One?
Most maintenance teams start the same way. A spreadsheet, a shared drive, and someone who remembers when the pump was last serviced. It works, until it doesn't. The question isn't whether spreadsheets are bad. It's when they stop being good enough and what replaces them.

What is a CMMS?
A CMMS is a Computerised Maintenance Management System. It's the system of record for your physical assets and the work performed on them. At minimum, it holds:
Every asset you own, along with sub assets, where it is, and its service history
Preventive maintenance schedules and usage tracking
Defects raised by the field and maintenance crew
Work orders that resolve those defects
Labour hours and parts consumed against work orders
Maintenance Scheduling and job management
Equipment booking management
Prestarts and Inspections log
Compliance evidence, and audit trail
The Seven-User Rule
Under about 7 users, a spreadsheet genuinely works fine. One person maintains it. Everyone knows the conventions. Errors get spotted quickly because the same set of eyes sees everything. Past that point, the cracks appear fast.
Concurrency. Multiple users edit the spreadsheet and data quality drifts.
Version drift. The workshop copy, the site copy, and the copy the manager emailed to the auditor no longer agree.
No workflow. A spreadsheet can record that a defect exists. It can't route it, escalate it, or stop it from being closed without a sign-off.
No accountability. Cells change. Nobody knows who changed them or why. No Audit log.
No field access. The person who found the fault is standing next to the asset, not in front of a desktop.
The spreadsheet doesn't fail dramatically. It degrades. Data quality slips, then reporting becomes guesswork, then the audit arrives. Spreadsheets are challenging when working in regulated industries and a deal breaker for organisations that are required to go through audits and showcase compliance to ISO and other standards.
Workflow: The Real Difference
The single biggest gain from a CMMS isn't storage of datasets related to an asset. It's a dataset with workflows to process and manage it. A defect raised in the field triggers a defined sequence of events.
Assessment --> Work order creation --> Work Order Assignment --> Execution --> Sign-off and Closure of defect with evidence.
Each step has an owner and a status. Nothing gets closed without the evidence it requires. This is what "managed end to end" means in practice. The system enforces the process, rather than relying on people to remember it.
Defects and Work Orders
Defect tracking is where most maintenance programmes live or die. A defect is an observation of something is wrong. A work order is the response to this and is what we're doing about it to address the issue. The link between the two is what gives you a defensible maintenance history.
Attached to that work order sit labour hours and materials, SOPs and checklists to safely and reliably perform the maintenance activity. In many industries this isn't optional. Regulators, insurers, and certifying bodies want to see what was done, by whom, when. Sectors where this is typically mandatory include:
Heavy equipment and plant hire
Rail, ports, and transport infrastructure
Utilities and water
Food processing and pharmaceuticals
Mining and resources
Local government asset custodianship
If you can't produce the record, the work effectively didn't happen. Time and material capture at the work order level is what turns maintenance activity into compliance evidence.
Mobile Access Without an App Install
A CMMS that only works at a desk gets used at a desk. Which means it gets updated at the end of the week, from memory, if at all. Field usability is the difference between a system that reflects reality and one that describes an idealised version of it.
The practical standard is a mobile web application that requires no installation as installed apps eventually lead to version fragmentation and management challenges especially across contract workforce and field personnel. The Gold standard is for an operator to simply open a link on their phone, complete their prestart in real time, log defects, and attach photos standing in front of the asset.
Usage-Based Triggers
A CMMS solution can capture operator readings from pre-starts, or even from live telemetry data if the asset is enabled with real-time telemetry systems. This can then trigger maintenance based on actual usage:
Engine or operating hours
Kilometres travelled
Cycles or activations
Thresholds from sensor data
The result is fewer unnecessary services on lightly used equipment, and earlier intervention on the assets doing the heavy lifting. Maintenance spend follows actual wear, not the calendar.
Equipment Booking and Utilisation
Where equipment is shared across teams, sites, or projects, the CMMS solution can help manage the equipment booking across teams, track condition reports and capture damage arising from usage.
Crews can reserve assets in advance. Fleet managers can manage the approval of bookable assets using workflows. Availability is visible before someone drives across town for a machine that's already out. Scheduled maintenance windows block bookings automatically, so a unit isn't allocated to a job when it's due for a service.
Finance and Maintenance
A CMMS with a proper asset management function holds the data finance needs for depreciation: acquisition date, purchase cost, capitalised improvements, useful life, depreciation method, accumulated depreciation, written-down value, and disposal date.
Most finance teams track this in a separate spreadsheet, maintained by hand, reconciled against a maintenance register that was also maintained by hand. Two versions of the truth, updated at different times, by different people.
Consolidating asset and depreciation data in one place removes that duplication. Depreciation runs against the same asset record the maintenance team is already updating. Disposals, write-offs, and transfers flow through automatically. Month-end and year-end preparation gets shorter, and the fixed asset register agrees with the physical asset register because they're the same register.
